02. Preparing your work environment – Windows

Goals:
  • Install the Commons-Publishing-OpenEdition template file.
  • Configure your work environment to apply styles to a document.

The Commons-Publishing-OpenEdition template file enables you to prepare the document before importing it into Lodel.

Before you begin
You need to activate the Developer tab in Microsoft Word to attach the template file to the document to be styled.

To activate it:
– Click on File
– Click on Options.

→ A Word Options dialogue box opens
– Click on Customize Ribbon
– Check the Developer box in the right-hand column
– Click on OK

→ A new Developer tab has now been added to the Microsoft Word ribbon

Downloading the template file  #

Download the Commons-Publishing-OpenEdition template from the following address: 

https://git.unicaen.fr/fnso/i-fair-ir/modeles-stylage/-/blob/master/MS_Word/OpenEdition/Commons-publishing-OpenEdition.dotm

This template file includes automatic correction tools (macros) that you can use once you have finished styling the document.

Installing the template in Microsoft Word  #

The Commons-Publishing-OpenEdition template is compatible with Word 2016 and newer versions.

The first step is to add the template to the dedicated Microsoft Word directory.

You only need to do this once for each computer. However, if you change computer or install a newer version of Word, you will need to do this operation again.

Standard method  #

Copy the Commons-Publishing-OpenEdition file and paste it into the Template folder for Word. Depending on the configuration (Word version and operating system), this location may vary. 

  • Windows Vista, Windows 7, 10: C :\Users\Nom_utilisateur\AppData\Roaming\Microsoft\Templates
  • Windows XP: C :\Documents and Settings\Nom_utilisateur \Application Data\Microsoft\Templates
Please note
In Windows, the AppData or Application Data file is sometimes hidden. To access it, you can use the Windows+R keyboard shortcut to open the Run dialogue box.  Enter %appdata% and click on OK.

Quick method  #

This operation is not available in all Word versions. You need to try it out depending on the configuration.

  • Copy the template file
  • Open Word, then the Developer tab, and click on the Document Template button on the right in the ribbon
  • In the Templates dialogue box, click on Attach and paste the template
  • Close the dialogue box

Attaching the template to a document  #

The first time you open a document for styling, you need to attach the Commons-Publishing-OpenEdition template file to it.

  1. Click on Developer in the ribbon
  2. Click on Document Template
    → A Templates and Add-ins dialogue box opens
  3. Click on Attach
    → An Attach Template dialogue box opens
  4. Select the Commons-Publishing-OpenEdition template file
  5. Click on Open
  6. Check the Automatically update document styles box
  7. Click on OK
    → A new Commons tab has now been added to the Microsoft Word ribbon

The template file has been attached to the document.

Configuring your work environment  #

Click on Commons, then on * Start.

Important!
The * Start button is essential for styling a document in Microsoft Word.

When you click on it: 

  • The draft view and corresponding style area (on the left) opens
  • Hidden characters are displayed
  • The Styles pane opens
  • The document footnote section opens
